Your Business Has Outgrown Break-Fix IT: 10 Signs You Need a More Proactive IT Strategy

For many small and midsize businesses, technology support begins in a very simple way. A computer stops working, the internet becomes unreliable, a printer refuses to cooperate, or an employee cannot access an important application, so someone calls an IT professional to fix the immediate problem. Once everything is working again, technology fades into the background until the next issue occurs. This traditional break-fix approach can work when an organization has only a few devices and limited dependence on technology. What exactly is being backed up? How often? Where is the backup stored? How long is information retained? Is there an offsite copy? Who monitors the backup? Has anyone tested a restore? How long would it take to recover an individual file? How long would it take to recover an entire server? What happens if the building itself becomes inaccessible?

A backup is important, but it is not a complete business continuity and disaster recovery strategy.

Imagine that the primary server fails tomorrow morning. Even if all of the organization's files exist somewhere else, how long will it take to obtain replacement hardware, restore the operating system, reinstall applications, recreate configurations, restore permissions, recover data, and reconnect employees? Depending upon the environment, the difference between having a copy of the files and having a functioning business can be substantial.

Businesses increasingly need to think in terms of recovery rather than simply backup. That means understanding what must be restored first, how much downtime the organization can tolerate, how much recent information it can afford to lose, and whether the current recovery strategy can realistically meet those requirements.

If nobody has tested the answer, the organization does not really know how prepared it is.

5. Your Firewall Was Installed Years Ago and Has Barely Been Thought About Since

A firewall should not be viewed as an appliance that gets installed in a closet and forgotten until it stops working.

The firewall sits at an important boundary between the organization's internal environment and external networks. Depending on the environment, it may handle access control, threat protection, VPN connectivity, network segmentation, content filtering, logging, application control, and other security functions.

As the business changes, firewall requirements can change as well. New employees are added, cloud applications are adopted, remote access requirements evolve, additional devices connect to the network, and security threats continue changing.

Appropriate business firewall and UTM protection should therefore be part of the organization's larger technology and cybersecurity strategy, not a one-time hardware purchase.

If nobody knows when the firewall was last reviewed, whether its firmware is current, what security services are active, who has administrative access, or whether its configuration still reflects the business environment, that deserves attention.

6. WiFi Problems Have Become Part of the Company Culture

Employees should not have to know which corner of the conference room has the strongest wireless signal.

As organizations add laptops, phones, tablets, printers, cameras, smart devices, guest networks, and other connected equipment, wireless networking becomes infrastructure rather than a convenience. An inexpensive wireless router that was perfectly adequate when five people occupied the office may struggle when dozens of devices compete for connectivity.

8. Nobody Has a Complete Picture of Your Technology Environment

As organizations grow, technology tends to accumulate.

Over time, employees leave, vendors change, passwords change, equipment gets replaced, and systems are modified.

Who has administrative access to the firewall? Where is the domain registered? Which vendor manages the telephone system? Which systems are being backed up? When does a critical subscription renew? What static IP addresses are in use? Which devices are connected to which network segments? Who has access to important cloud administration portals?

The moment to discover that nobody knows an important credential or configuration is not during an outage.

Documentation does not need to become bureaucracy for its own sake. Its purpose is to make the environment understandable, maintainable, and recoverable. When a business reaches the point where nobody can confidently describe its technology environment, it indicates that a more structured approach is needed.

9. Technology Decisions Are Being Made Without Considering Business Growth

Technology should not merely support the company that exists today. It should also support where the company is going.

From there, priorities can be set based on risk and business impact. A critical unsupported server may require attention before an employee's aging secondary computer. An untested backup may represent a greater business risk than an inconvenient printer. A firewall with outdated security services may deserve attention before a cosmetic network improvement.
